With several offices in the western United States, EPIC is a consulting firm whose purpose is to acquire real property interests on behalf of public agencies to achieve the best outcome for communities and owners/dwellers.

RESPONSIBILITIES

  • Provide project support activities: contact property owners to arrange for inspection of affected properties, negotiate acquisition of easements and fee interest of real property or property rights, and inform property owners of their rights, applicable laws and regulations.
  • Understand, produce and maintain correspondence records, various agreements, and other documents as requested.
  • Review legal documents, maps, and plans with a basic understanding of content.
  • Bring organization and attention to detail when scheduling, coordinating and managing projects.
  • Participate in meetings with stakeholders, the public, and clients and coordinate with applicable federal, state and local agencies.
  • Provide estimates of value.

REQUIREMENTS

  • Superior English verbal and written skills and attention to detail.
  • Proficient in Microsoft Word, Adobe, Outlook and Excel. SharePoint experience highly desirable.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work.
  • Must have interpersonal skills required to work within a team and be self-directed.
  • Minimum two years completed college work or industry experience equivalent.
  • Must be self-disciplined and motivated to perform tasks independently.
  • Previous right of way experience highly desirable.

Our successful agents have training in one or more of the disciplines below:

  • Real property transactions
  • Title search – familiarity with the process of researching, ordering and reviewing title reports and appraisals
  • Contracts
  • Paralegal certification or work experience equivalent

Epic Land Solutions, Inc. (“EPIC”), a full service right of way consulting firm in Portland/Tigard, is seeking an experienced part-time administrative assistant. 

Candidates best suited for this position have worked in an admin position for a minimum of five years with a verifiable and successful employment track record.  Our new hire takes pride in performing a wide range of duties, from maintaining an organized and well- stocked office to admin/ROW support as listed below.

Responsibilities:

  • Provide support to regional managers/project managers as directed, and proactively assist to get all tasks done to meet project deadlines.
  • Provide administrative support by answering telephones, responding to and forwarding email, letter writing.
  • Data entry, uploading invoices and receipts using Epic’s accounting software.
  • Directing inquiries to appropriate parties and using independent judgment when handling confidential and urgent issues.
  • Point person for equipment repair and apprising employees of status.
  • Update and maintain various databases including client contacts. Update company calendars for all Portland employees on MS Outlook.
  • Coordinate special package and mail deliveries. Will be required to take certified mailings to post office.
  • Coordinating meetings and conferences.
  • Office kitchen responsibilities including grocery shopping, making coffee, and keeping kitchen clean and organized.
  • Support marketing efforts and conference set up.
  • Arrange travel for staff.
  • Be able to use personal vehicle for office errands. Mileage to be reimbursed.

Requirements:

  • Advanced command of both Excel and Word, with a working knowledge of Outlook, Teams, setting up Zoom meetings and SharePoint.
  • Business writing expertise. Must have excellent English language skills.
  • Critical reasoning aptitude.
  • Enjoys organizing everything.

Epic Land Solutions, Inc. (EPIC) has an immediate opening for an experienced proposal coordinator.  The Proposal Coordinator plays a critical role in helping the company win new contracts, retain contracts, and cross-market services to existing clients.  This is a full-time position.

This position will be part a small, collaborative corporate marketing team and will partner closely with company executives, regional managers, and subject matter experts. You will be working in a fast-paced, fun yet professional environment with passionate, knowledgeable people. Success in this position requires a willingness to collaborate with team members based in different locations in California, Oregon, and Washington, to solve problems and meet deadlines.  The role requires balancing competing tasks and changing priorities with a “can-do” attitude.

The Proposal Coordinator role requires a mix of project management skills coupled with technical writing ability and creative skills, as follows:

RFP Project Management: Under the supervision of the proposal manager, the proposal coordinator creates and manages content, assembles proposals, and handles client communications in response to RFPs and RFQs. Working within a deadline-driven environment, this person will manage the entire RFP process to include developing a work plan, delegating work streams to subject matter experts, writing content, editing content, and formatting document layouts. This person will have the ability to develop clear action plans and drive processes with numerous interdependencies. The candidate will thrive in a detail-oriented environment that also involves completing regular database entries.

Technical Writing: Our ideal candidate understands how proposal production drives business development and will be responsible for responding to complex RFP requirements in a compelling and organized manner. The candidate must have talent to effectively articulate complex technical solutions in writing or using graphics.  This person will create compelling documents that demonstrate the company’s unique value propositions, tailored for each pursuit.  The Proposal Coordinator will also partner with subject matter experts to develop new content to fill information voids and manage ad-hoc requests for information as needed. The Proposal Coordinator will amass fresh marketing content into a central database (i.e. Microsoft SharePoint).

Creative Skills: Our clients are mostly public agencies and engineering consultants overseeing infrastructure projects, so every deliverable must convey a fresh, differentiated story with accuracy and impeccable attention to detail. A creative mind and a knack for deciphering technical concepts are critical skills in this role. The candidate must have talent to effectively articulate technical solutions or translate data into graphics and visuals.  These work products can also be developed and deployed for use in marketing email blasts, website content, print materials, and other corporate marketing collateral.  As this role supports corporate marketing functions, video production and marketing concepts are a plus!

RESPONSIBILITES:

  • Coordinating the proposal development process from start to finish.
  • Serve as the lead coordinator for individual RFP responses by assigning responsibilities across all required business units to build the proposal response.
  • Collaborate daily in meetings, email, and phone conversations with internal and external stakeholders to deliver proposals and marketing materials.
  • Responsible for reviewing RFP requirements, summarizing client directives and partnering with regional managers to ensure the requirements are clearly understood and met.
  • Organize and outline proposal structure and create a storyline with production deadlines.
  • Gather and research information relevant to each proposal, including resumes and project summaries.
  • Design and draft original copy that communicates Epic’s value and sales message.
  • Proofread and edit documents for accuracy, consistency and relevance to client objectives.
  • Print and assemble final proposal packages, obtain required signatures and notarization when required, bind and process shipping labels and guarantee deadlines are met.
  • Manage and maintain physical and electronic filing systems for marketing collateral.
  • Support reporting and record-keeping initiatives related to the proposal cycle and new contracts.

QUALIFICATIONS:

  • Two years’ experience in a related role in the A/E/C, real estate, or right of way industry.
  • Degree in Marketing, Business, English, Journalism or Technical Writing desirable.
  • Excellent business writing and copy-editing skills.
  • Proven graphic design skills.
  • Acumen for creative design/layout.
  • Experience in crafting compelling documents such as case studies, white papers, and newsletters.
  • Strong command of Microsoft Office applications.
  • Adobe Creative Cloud experience.
  • CRM and/or content management experience.
  • Ability to compile printed reports, with occasional time spent printing, binding, and shipping.
  • Strong research skills and good inductive reasoning ability to combine pieces of information to form general rules or conclusions.
  • Ability to present thoughts and strategy in both face-to-face and over-the-phone environments
  • Strong interpersonal and collaborative skills for working in a small team.
  • Eager leader and active self-starter with strong organization, multi-tasking, and time management skills.
  • Adaptable and flexible at welcoming changes to the schedule, preferring a challenge over certainty.
